Privacy Policy

We believe you deserve to know exactly how your information is used. This policy explains it simply and clearly.

01 — Introduction

We Take Your Privacy Seriously

Welcome to Webify. We are a South African digital services company based in Tembisa, Gauteng, helping small and township businesses get online. We are committed to protecting your personal information and being transparent about how we use it.

This Privacy Policy applies to all services offered by Webify, including our website, contact forms, WhatsApp communications, and any work we carry out on your behalf. By engaging with our services, you agree to the practices described in this policy.

Plain language summary: We only collect information we actually need, we never sell it, and we use it solely to deliver and improve our services to you.
02 — Information We Collect

What Information Do We Collect?

We collect information in two ways — what you give us directly, and what we collect automatically when you use our website.

Information you provide to us:

  • Your name and contact details (email address, phone/WhatsApp number)
  • Your business name, industry, and any details you share with us about your business
  • Messages, briefs, or content you send us via our contact form, email, or WhatsApp
  • Payment information processed through third-party payment platforms (we do not store card details)
  • Photos, logos, or other brand assets you share with us for project delivery

Information collected automatically:

  • Your browser type, device type, and operating system
  • Your IP address and approximate location
  • Pages visited on our website and time spent on each page
  • How you arrived at our website (e.g. a Google search or a social media link)
03 — How We Use Your Information

How We Use Your Information

We use your information only for purposes that are necessary and relevant to delivering our services. Specifically, we use your information to:

  • Respond to your enquiries and communicate with you about your project
  • Deliver the services you've contracted us for (websites, logos, social media pages, etc.)
  • Send you quotes, invoices, and project updates
  • Improve our website and service offerings based on how users interact with them
  • Comply with legal obligations under South African law, including POPIA
  • Send you relevant marketing communications about our services — only if you've opted in

We do not use your information for automated decision-making or profiling that would have a significant impact on you.

04 — Sharing Your Information

Who Do We Share Your Information With?

We do not sell, rent, or trade your personal information to any third party. We only share your information in the following limited circumstances:

  • Service providers: Trusted tools we use to operate our business, such as Google Workspace, WhatsApp Business, and website hosting platforms. These providers are contractually bound to protect your data.
  • Payment processors: If you pay us online, your payment is handled by a third-party processor. We never see or store your card details.
  • Legal requirements: If required by South African law, a court order, or a regulatory authority, we may disclose your information.
  • Business transfers: In the unlikely event that Webify is acquired or merged with another business, your information may be transferred. We would notify you before this happens.
Bottom line: Your information is only shared when strictly necessary to deliver your service, or when the law requires it. We never sell your data.
05 — Data Storage & Security

How We Store and Protect Your Data

Your information is stored securely using industry-standard tools and platforms. We use Google Workspace for email and document storage, which provides enterprise-grade encryption and security.

We take appropriate technical and organisational measures to protect your personal information against unauthorised access, accidental loss, destruction, or disclosure. These include:

  • Password-protected accounts with two-factor authentication where possible
  • Limited access — only team members who need the information to do their job can access it
  • Regular review of who has access to what information
  • Secure deletion of information that is no longer needed

We retain your personal information only for as long as necessary to deliver our services and meet our legal obligations — typically no longer than 5 years after our last interaction, unless you request earlier deletion.

While we take every reasonable precaution, no method of electronic storage is 100% secure. If a data breach occurs that is likely to affect your rights, we will notify you as required by the Protection of Personal Information Act (POPIA).
